Interest and progress answer different questions
Hot, warm and cold describe recorded interest. A lifecycle status describes where the enquiry stands in your workflow. Neither proves that a purchase will happen. A keen buyer may still need financing, while a quiet enquiry may have a clear requirement and a longer timeline.
Use a score to decide which record to review next, then read the underlying message and summary. Missing details should prompt a question rather than a confident assumption.
Look for a practical next step
Check what is known about budget, location, timing and the property brief. Does the person want an answer, a shortlist or a viewing? If the brief has changed, update the lead details so your next conversation starts from accurate information.
Keep the team’s record consistent
Use one lead record and keep its owner clear. Log the outcome of a call and create a linked task for a future promise. Move a deal through Pipeline when a milestone is supported by the conversation, rather than because its AI score changed.
