Choose what can safely be answered
An after-hours enquiry may ask a straightforward question or require a detail only an agent can confirm. Review the sender identity, listing information and email modes before relying on automatic replies. Automation should not create commitments that your team has not confirmed.
Give uncertain questions an owner
If an answer needs confirmation, keep the conversation available to the agent and create a clear next task. Review the configured agent alerts rather than assuming every message causes an email notification. Team members should know where to find held drafts and unanswered threads.
Start the next day with the actual thread
Open Briefing and Inbox to read what arrived and what actually sent. A preview in the history is not a delivered email. Check the latest incoming reply before writing another introduction or repeating the previous question.
When you take over, answer the buyer’s point directly and record the next action. The goal is a continuous conversation, not a collection of disconnected responses.
